Terms & Conditions
These Terms & Conditions govern your use of Comflo, including our website (comflo.app), the Comflo dashboard, online shop, WhatsApp inbox and related services. By creating an account, subscribing to a plan or using Comflo, you agree to these terms on behalf of yourself and the business you represent.
1. What Comflo Provides
Comflo is business software for sellers. Depending on your plan, you receive:
- An online shop with product pages and checkout, hosted by Comflo.
- A shared WhatsApp inbox connected to your WhatsApp Business number through Meta's WhatsApp Business Platform.
- Orders, point of sale (POS), customers, products and stock management in one dashboard.
- WhatsApp campaigns to bring past customers back, and AI features such as order capture from chats.
- Team accounts, media storage and, on eligible plans, developer API access.
The features, limits (such as products, team members, storage and custom domains) and fees of each plan are shown on our pricing section and in your account when you subscribe. The plan details shown at the time you subscribe or renew apply to that billing period.
2. Accounts
You must be at least 18 years old and authorised to act for your business. You agree to give accurate information, keep your login details confidential and tell us promptly about any unauthorised use. You are responsible for all activity under your account, including the actions of team members you invite.
3. Plans, Fees and Billing
Paid plans are billed in advance on a monthly or yearly basis and renew automatically until cancelled. Prices are in Sri Lankan Rupees (LKR) and exclude VAT and other applicable taxes. The Free plan has no monthly fee but charges a 2% fee on online sales. Full billing, renewal and consent terms are in our Subscription Terms, and refunds and cancellations are covered by our Refund & Cancellation Policy.
4. Third-Party Services and Charges
- WhatsApp: WhatsApp messaging depends on Meta's WhatsApp Business Platform. Message charges are set by Meta and deducted from your prepaid balance. You must follow Meta's WhatsApp Business policies, including getting your customers' consent before messaging them.
- Payment gateways: Payments your shoppers make to you are processed by the payment gateway you connect (for example PayHere or Payments.lk). Gateway fees are charged by the gateway and are separate from Comflo's fees.
- Availability: We are not responsible for outages, policy changes, account restrictions or price changes made by third parties such as Meta or payment gateways.
5. Acceptable Use
You agree not to use Comflo to:
- Sell illegal, counterfeit or prohibited goods or services.
- Send spam or messages to people who have not agreed to hear from you.
- Upload content that infringes others' rights or is unlawful, harmful or misleading.
- Attempt to break, overload, reverse engineer or gain unauthorised access to Comflo.
6. Your Data and Content
You own the content and data you put into Comflo, including your products, orders and customer details. You give us permission to host and process it only to provide the service to you. You are responsible for having a lawful basis to collect and use your customers' information. How we handle personal information is described in our Privacy Policy.
7. Limitations
- Each plan has usage limits. When you reach a limit, you may need to upgrade to add more.
- We work to keep Comflo available and secure, but we do not guarantee uninterrupted or error-free service. Planned maintenance and events outside our control may cause downtime.
- AI features produce automated suggestions and may make mistakes. Please review AI-captured orders and replies before relying on them.
- Comflo is a tool for running your business. You remain responsible for your products, prices, deliveries, taxes, refunds to your own customers and compliance with laws that apply to your business.
- Features may be added, changed or retired over time. We will give reasonable notice of significant changes.
8. Limitation of Liability
To the maximum extent permitted by law, Comflo is not liable for indirect, incidental or consequential losses, including lost profits, lost sales or lost data. Our total liability for any claim relating to the service is limited to the fees you paid to Comflo in the three months before the claim arose.
9. Suspension and Termination
You may stop using Comflo and cancel your subscription at any time as described in our Refund & Cancellation Policy. We may suspend or close an account that breaks these terms, is used unlawfully, or has unpaid fees after the reminders described in our Subscription Terms.
10. Intellectual Property
Comflo, its software, design and branding belong to Comflo. Your subscription gives you a right to use the service; it does not transfer any ownership of Comflo to you.
11. Changes to These Terms
We may update these terms. If a change materially affects you, we will notify you by email or in your account before it takes effect. Continuing to use Comflo after that means you accept the updated terms.
12. Governing Law
These terms are governed by the laws of Sri Lanka, and disputes are subject to the courts of Sri Lanka.

Subscription Terms
These Subscription Terms explain how paid Comflo plans are billed and renewed. They form part of our Terms & Conditions.
1. Plans and Prices
Comflo offers a Free plan and paid plans (Starter, Growth and Business). Current prices and what each plan includes are shown on our pricing section and in your account before you pay. Prices are in Sri Lankan Rupees (LKR) and exclude VAT and other applicable taxes, which are added to your invoice where required.
2. Billing Frequency
- Monthly plans are charged in advance once every month, on the same date as your first payment.
- Yearly plans are charged in advance once every year, and cost the equivalent of 10 months of the monthly price (2 months free).
- Free plan: no subscription fee. A 2% fee applies to online sales made through your Comflo shop.
- Usage-based charges: WhatsApp message charges are set by Meta and deducted from a prepaid balance you top up separately. They are not part of your plan fee.
An invoice or receipt is emailed to your account email address for every payment.
3. Your Consent to Recurring Charges
When you subscribe to a paid plan, you are shown the plan, price, billing frequency and renewal date before you confirm. By confirming and saving your card on our payment gateway's secure page, you authorise Comflo to charge that card automatically at the start of every billing period until you cancel. You can withdraw this authorisation at any time by cancelling your subscription.
4. Automatic Renewal
- Subscriptions renew automatically at the end of each billing period for the same length and plan.
- Before a yearly plan renews, we email you a reminder with the renewal date and amount.
- Your renewal date and next charge are always shown under Settings → Billing in your Comflo account.
- To stop renewal, cancel at least before your renewal date (see our Refund & Cancellation Policy).
5. Free Trials
If we offer you a free trial, its length and the plan it converts to are shown before you start. We may verify your card with a small charge (LKR 10) that is refunded. When the trial ends, the plan renews as a paid subscription unless you cancel before the trial end date. We email you before the trial ends.
6. Upgrades and Downgrades
- Upgrades take effect immediately. You are shown and charged the prorated difference for the rest of your current billing period.
- Downgrades take effect at the end of your current billing period. Nothing is deleted when you downgrade; you just cannot add more beyond the new plan's limits.
7. Failed Payments
If a renewal payment fails, we notify you by email and in your account, and the payment is retried automatically over the following 14 days. You keep full access during this time. If payment still cannot be collected, the subscription is cancelled and your account moves to a restricted, read-only mode. Your data is kept, and you can reactivate by paying the outstanding amount.
8. Price Changes
We may change plan prices. We will tell you at least 30 days in advance by email, and the new price applies only from your next renewal after the notice period. If you do not agree, you can cancel before that renewal.

Refund & Cancellation Policy
You can cancel your Comflo subscription at any time. This policy explains how to cancel, what happens after you cancel, and when we give refunds.
1. How to Cancel Your Subscription
You can cancel in either of these ways:
- In your account: sign in to Comflo, go to Settings → Billing, select Manage billing, then choose Cancel subscription. Only the store owner (or a team member with billing permission) can cancel.
- By email: email hello@comflo.app from your account email address and ask us to cancel. We will confirm the cancellation by email within 2 business days.
You will receive an email confirming your cancellation and the date your plan ends.
2. What Happens After You Cancel
- Cancellation stops all future charges. Your card will not be charged again.
- You keep full access to your paid plan until the end of the billing period you have already paid for.
- After that, your online shop keeps running for 14 days so your customers are not affected, and your account becomes read-only. You can reactivate at any time.
- Your data is kept for at least 90 days after your plan ends. You can ask us for an export of your data. We only delete it after that period, or sooner if you ask us to.
3. Refunds
- Monthly plans: payments are non-refundable, and we do not refund partly used months. When you cancel, you keep access until the end of the paid month.
- Yearly plans: if you are not satisfied, you can ask for a full refund within 14 days of your first yearly payment. After 14 days, or for yearly renewals, payments are non-refundable and you keep access until the end of the paid year.
- Charged in error: if you were charged twice, charged after cancelling, or charged the wrong amount, we refund the incorrect charge in full.
- Card verification: any small verification charge (LKR 10) made when you add a card is refunded automatically.
- Not refundable: the 2% sales fee on the Free plan, WhatsApp message charges already used, and payment gateway fees charged by third parties.
- Unused WhatsApp balance: if you close your account, you can ask for a refund of any prepaid WhatsApp balance you have not used.
4. How to Request a Refund
Email hello@comflo.app from your account email address with your store name, the payment date and amount, and the reason for the request. We reply within 3 business days. Approved refunds are paid back to the original card or payment method, and normally appear within 7 to 14 business days, depending on your bank.
5. Orders From Your Own Customers
This policy covers payments you make to Comflo. Refunds for orders placed in your online shop are between you and your customers, under your own store policies.
6. Related Terms
Billing frequency and renewals are explained in our Subscription Terms.
Privacy Policy
This Privacy Policy explains what information Comflo collects, why we collect it, how we use it and the choices you have. It applies to our website (comflo.app), the Comflo dashboard and online shops hosted by Comflo.
1. Information We Collect
- When you contact us or fill in the Get Started form: your name, WhatsApp number, email address, business name, business category, your role, your goals and approximate customer base size.
- When you create an account: your name, email address, phone number, password (stored in a protected, hashed form), business details and the details of team members you invite.
- Billing information: your plan, invoices and payment history. Card details are entered on our payment gateway's page; we keep only the card brand, last 4 digits, expiry date and a gateway reference. See Payment Security.
- Business data you put into Comflo: products, orders, your customers' contact details and WhatsApp conversations with your customers.
- Usage and device data: pages visited, the link or campaign that brought you to us (UTM details), browser and device type, and IP address, collected through Google Analytics and our server logs.
2. Why We Collect It and How We Use It
- To respond to your enquiry and show you how Comflo can help your business.
- To create and run your account and provide the features of your plan.
- To process subscription payments, send invoices and handle refunds.
- To send service messages such as receipts, renewal reminders, security alerts and important changes.
- To provide support, keep Comflo secure and prevent fraud and misuse.
- To understand how our website and product are used so we can improve them.
- To send product news, only where you have agreed. You can opt out at any time.
We do not sell your personal information.
3. Your Customers' Information
When you store your customers' details or WhatsApp conversations in Comflo, you decide how that information is used and Comflo processes it on your behalf, only to provide the service to you. We do not use your customers' information to market to them. You are responsible for having their consent where the law requires it.
4. Who We Share Information With
We share information only with service providers who help us run Comflo, and only what they need:
- Meta (WhatsApp Business Platform) to send and receive WhatsApp messages.
- Payments.lk and other payment gateways to process payments.
- Hosting and email providers to run our servers and send emails.
- AI providers to power AI features such as order capture from chats.
- Google Analytics to measure website traffic.
We may also disclose information when required by law, or to protect the rights and safety of Comflo, our users or others.
5. How Long We Keep It
We keep account and business data while your account is active, and for at least 90 days after your plan ends so you can reactivate or export it. Get Started enquiries are kept for up to 2 years unless you ask us to delete them sooner. Invoices and payment records are kept as long as tax and accounting laws require.
6. How We Protect It
We use encrypted HTTPS connections, access controls that limit data to authorised staff, hashed passwords, encrypted storage of sensitive keys, and regular backups. No system is completely secure, but we work to protect your information and will notify you if a breach affects you.
7. Cookies
We use essential cookies to keep you signed in and keep the service secure, and analytics cookies from Google Analytics to understand website use. You can block or delete cookies in your browser settings; essential cookies are needed for sign-in to work.
8. Your Choices and Rights
You can ask to access, correct or delete your personal information, ask for a copy of your data, or opt out of marketing messages. Email hello@comflo.app and we will respond within 30 days.
9. Changes to This Policy
We may update this policy. We will post the new version on this page and update the date above, and tell you by email if the changes are significant.

Payment Security
We take the security of your payment details seriously. This page explains how card payments for Comflo subscriptions are handled and what we do and do not store.
1. Our Payment Gateway
Comflo subscription payments are processed by Payments.lk, a Sri Lankan payment gateway. When you pay or add a card, you enter your card details on Payments.lk's own secure payment page, not on a Comflo form.
2. What Comflo Never Sees or Stores
- Your full card number.
- Your card security code (CVV/CVC).
- Your card PIN or online banking passwords.
Your card is stored by the payment gateway, which gives Comflo a reference (a "token") that can only be used to charge your subscription. Comflo keeps only that reference, the card brand, the last 4 digits and the expiry date, so you can recognise which card is on file.
3. How Payments Are Protected
- All pages on comflo.app and the payment page are served over encrypted HTTPS (TLS) connections.
- Your bank may ask you to confirm a payment with 3-D Secure (for example a one-time password) where it applies.
- Payment confirmations from the gateway are digitally signed, and Comflo verifies the signature before updating your subscription.
- Each charge request uses a unique reference, so a repeated click or network retry cannot charge you twice.
- Payment gateway keys are kept on our servers only, and access to billing systems is limited to authorised staff.
- Our logs record payment references only, never card details.
4. Managing Your Card
You can update or remove your saved card at any time under Settings → Billing → Manage billing, which opens the payment gateway's secure billing page.
5. Payments in Your Online Shop
When your customers pay in your Comflo online shop, they pay through the payment gateway you connect (such as PayHere or Payments.lk), on the gateway's secure page. Card details are handled by that gateway and are not stored by Comflo. Your gateway API keys are stored encrypted.
6. Reporting a Concern
If you notice a charge you do not recognise or think your account may be at risk, email us immediately at hello@comflo.app and contact your bank. See also our Privacy Policy.
